How to Write a Commercial Pot Washer RFQ: Specification and Acceptance Checklist
A useful commercial pot washer RFQ defines the cookware duty and peak wash window first, then asks every supplier to answer the same technical, commercial and acceptance fields. That structure turns unlike quotations into comparable bids and prevents a low headline price from hiding a machine that cannot fit the load, match the site utilities or pass commissioning.
Specify the washing duty before the machine
Do not open an RFQ with “one heavy-duty pot washer.” Start with the work the machine must complete: cookware types and maximum dimensions, pieces or correctly loaded racks in the busiest 60 minutes, how quickly clean items must return, the dominant soils, operating hours and available staff. Attach photographs or a load list when several shapes must share a rack. Suppliers can then confirm fit and throughput against the same duty instead of interpreting a vague adjective differently.
Use the sizing method from the peak-hour rack calculator: convert each cookware group into spray-accessible rack equivalents and add demand headroom. Keep the load list in the RFQ even when you already prefer a model; it becomes the reference for loading trials and final acceptance.
Give every bidder the same response schedule
Require suppliers to complete a field-by-field schedule and identify every exception. “Complies” without a value or supporting document is not a complete answer. Separate pass-or-fail gates from scored preferences
Some requirements are gates: the largest pot fits, the electrical configuration matches the site, water pressure is available, the peak can be cleared and the required final-rinse condition can be demonstrated. A bid that fails a gate should not win by collecting points elsewhere. Preferences such as smaller footprint, lower water use, easier loading, longer warranty or faster parts support can be scored only after all gates pass.
A simple weighted score is total score = Σ (criterion score × criterion weight). Publish the weights with the RFQ and keep evidence beside every score. Do not award a perfect score for an unverified brochure claim, and do not convert an exception into an assumption. Record it as an exception and price the remedy before comparing bids.
Normalize the commercial scope, not just the machine price
Ask every bidder to separate equipment, required racks or accessories, packing, freight term, commissioning support, training, recommended spares, warranty extensions and taxes or duties handled by the seller. State the Incoterm and named place. An FOB equipment price, a CIF port price and a delivered-and-installed offer are not comparable totals.
Build one comparison basis: evaluated cost = quoted equipment + omitted mandatory scope + buyer-managed freight and import costs + installation + initial spares. Keep estimates visibly separate from supplier commitments. Put measurable acceptance tests in the purchase order
Acceptance closes the gap between a compliant quotation and a working wash area. Before shipment, use a factory acceptance test to check model and nameplate data, chamber dimensions, ordered materials and options, controls, heaters, pump, spray arms, leaks, drain operation and the supplied documents. Record results with photographs or video and an exception list.
After installation, the site acceptance test should confirm utilities against the approved drawing, safe filling and draining, stable operation, wash and final-rinse setpoints, leak-free connections, operator training and a trial with the buyer’s representative cookware. Agree in advance who corrects a failed item, where the result is recorded and what evidence releases final payment. Acceptance is not a new performance promise: it verifies the requirements already written into the order.
Use clear award boundaries and a short buyer FAQ
Award only after technical gates pass, exceptions are closed or priced, and every commercial offer is normalized to the same boundary. Re-tender or clarify when the load list is incomplete, the site power is unknown, or suppliers have priced materially different scopes. Choose another machine class when the required throughput or largest item sits outside the proposed door-type machine’s usable range.
How long should a pot washer RFQ be? Long enough to define duty, interfaces, evidence, price scope and acceptance; a concise schedule with attachments is better than pages of generic prose. Should a brand or model be mandatory? Only when standardization is a documented project need; otherwise state measurable performance and interface requirements. What belongs in the purchase order? The accepted response schedule, drawings, exceptions, commercial scope, delivery terms and acceptance plan. What if bidders quote different utilities? Treat site compatibility as a gate and price any approved electrical, plumbing or ventilation change before award.
